Administrative Assistant

We are looking for a reliable and highly organized individual to join our team.  You will work closely with company leadership to support the firm's daily office needs.  The ability to prioritize tasks, while maintaining complex schedules and managing administrative support, is essential in this position.  The ideal candidate for this job is resourceful, a good problem solver and organized.  Assuring a steady completion of workload in a timely manner is key to success in this position.  

Responsibilities

·         Print prepare and distribute plans, bid quotes and contracts

·         Coordinate bid invitations to subcontractors and suppliers including plans, specifications and addenda

·         Support qualification, proposal and interview/presentation activities

·         Maintain resume, boilerplate information, project lists, project descriptions, photographs etc.

·         Work with principals to develop proposal sections and scopes of work

·         Compile submittals for design awards

·         Update and maintain clients and potential client databases

·         Answer phones, screen and direct calls

·         Procure & distribute incoming and outgoing correspondence

·         Maintain office supplies by checking inventory, ordering and stocking items

·         Data entry for invoices and forms

Qualifications

·         Administrative Assistant:  2 years’ experience

·         Associates Degree or Bachelor’s Degree

·         Proficient in Microsoft Office, Excel, Word and Outlook

·         Detail oriented and comfortable working in a fast pace office environment

·         Ability to analyze and revise operating practices to improve efficiency

·         Superior organized skills with the ability to prioritize work to complete projects in a timely manner

·         Excellent oral and written skills

·         Must be able to drive and carry a valid driver’s license

Preferred Qualifications

·         Proficient in graphic design programs:  Adobe Photoshop, Illustrator, InDesign, Microsoft Publisher (or compatible)

·         Ability to update social media and website information
